Some overviews you would rather not request again every day. With a scheduled task you let ChatGPT summarize your outstanding items, orders or other overviews at a fixed rhythm, so they are ready when you start.
Work that sets itself up
Some overviews you would rather not request again every time. Your outstanding items every morning, an order overview every Monday: with a scheduled task you let ChatGPT summarise that automatically at a rhythm you choose. When you start working, it is already waiting for you.
You set up scheduled tasks (in ChatGPT they are called Tasks) once, and ChatGPT then runs them by itself at the chosen moment: retrieving information, summarising an overview, or keeping an eye on something for you. The difference with a one-off question is that it happens at a fixed rhythm, without you kicking it off every time. Would you rather see the outcome once as a chart instead of on a rhythm? Then take a look at creating charts and overviews in ChatGPT.
Scheduled tasks work on a paid ChatGPT plan. They run in the cloud, so also when your computer is off or the app is closed.
What a scheduled task does and does not do
A scheduled task is there to inform you, not to update your administration on its own. It reads and summarises; if you want something recorded or sent, you do that in a normal conversation where you approve it.
Happens automatically
Retrieving information, summarising overviews and monitoring something for you. This reads and prepares, and changes nothing in your administration.
You do in a normal conversation
Recording something in your administration or sending an email. Because a scheduled task runs unattended, you keep write actions in a live conversation, where you approve them.
You do not have to program anything. You describe in plain language what needs to happen and at which rhythm.
1Test the question first. Ask the question once in a normal conversation to see if the overview is correct. That way you know for sure that the scheduled version will go well too.
2Schedule it. Go to the Scheduled page in the sidebar and choose the type: a one-off task, a recurring task or a monitoring task. Then you choose the rhythm, from daily or weekly to a time window such as the morning.
3ChatGPT runs it automatically. At the chosen moment ChatGPT retrieves the requested information and sends you the result via a notification, even when you have nothing open.
4Manage on the Scheduled page. There you see your upcoming and completed tasks, and you pause, edit or delete them whenever you want.
What you can schedule
A few tasks that work well at a fixed rhythm. You ask for them in plain language and adjust them to your own time and content.
Morning overview of outstanding items
Every working day a fresh overview of your outstanding receivables, so you start the day with a view of what should be coming in.
Example: "Every working day at 8:00, set up an overview of my outstanding receivables for me."
Weekly order overview
Every week an overview of your outstanding sales orders and expected delivery dates, so you start the week with a plan.
Example: "Every Monday morning, create an overview of my outstanding sales orders with their expected delivery date."
Alert on overdue invoices
A monitoring task that keeps an eye on things daily and only sends you a notification when a large invoice goes past its due date. That way you hear about it in time, without checking yourself.
Example: "Let me know daily as soon as an outstanding invoice of more than 1,000 euros goes past its due date."
How to get started
Start with one overview that you now request manually every day or week, for example your morning overview of outstanding items. Ask the question once first to see if the result is correct, then schedule it and expand from there. If a task does not work quite the way you want, you adjust it on the Scheduled page.
Tip: not sure what is handy to schedule? Just ask, for example "Which recurring overviews from my administration can I set up as a scheduled task?"
Frequently asked questions
Where do I set up scheduled tasks?
On the Scheduled page in the sidebar of ChatGPT, on the web and in the mobile app. Scheduled tasks work on a paid ChatGPT plan.
Does my computer have to be on for a task to run?
No. Scheduled tasks run in the cloud, so they run on their rhythm even when your computer is off or the app is closed.
Can a scheduled task record or send something itself?
No. A scheduled task reads your data and summarises it. You keep a write action in a normal conversation, where you approve it, because a scheduled task runs unattended and then there is no one to give approval at that moment.
Do I get current figures in a scheduled task?
Yes. Each run retrieves the information at the moment the task runs, so your overview is always current.
Can I adjust or stop a task?
Yes. On the Scheduled page you see all your tasks and the earlier runs. There you adjust the rhythm or the content, or you stop a task.
