From answer to chart

A single question or analysis gives you an answer within the conversation. A chart or overview goes a step further: ChatGPT turns your figures into a picture you understand at a glance, such as your outstanding items by age, your cash flow per month or your margin per product group. You ask for it in plain language, without setting anything up or exporting anything yourself.

A chart is a snapshot of the moment you request it. If you want fresh figures, you ask ChatGPT to recreate it using your current administration.

How to create a chart or overview

You do not need to set anything up or write any code. You describe in plain language what you want to see, then refine it until it is right.

1Ask in plain language. For example: "Create a chart of my outstanding receivables, broken down by age."
2ChatGPT creates the chart. It appears in the conversation, with the figures that come from your administration at that moment.
3Refine in plain language. "Make it a bar chart", "add a second period" or "show only items older than 30 days". ChatGPT creates a new version.
4Ask for fresh figures whenever you want. A chart is a snapshot; ask ChatGPT to recreate it with your current figures.

What it looks like

By way of illustration: you ask for a chart and ChatGPT places it in the conversation, with the figures from your administration at that moment.

Example with fictional figures.
Create a chart of my outstanding receivables, broken down by age.
Here is your chart of the outstanding receivables per age category. The largest part is not yet due; over 5,000 euros has been outstanding for 90 days or longer.
Outstanding receivables by age
€ 42.100

€ 12.400

€ 6.800

€ 5.500

Not yet due
1 to 30 days
31 to 60 days
90+ days

What you can have created

A few charts and overviews that work well. You ask for them in plain language and adjust them to your own periods, countries or product groups.

Outstanding items

Your outstanding receivables broken down by age or by country, so you can see at a glance where the payment risk lies.

Example: "Create a chart of my outstanding receivables, broken down by age and by country."

Cash flow overview

Your expected incoming and outgoing cash flows per month in view, so you can quickly see where things might get tight.

Example: "Create an overview of my expected cash flow per month based on outstanding receivables and payables."

Margin per product group

Your gross margin per product group in an overview, so you can quickly see which groups perform strongly and which lag behind.

Example: "Create a chart of my gross margin per product group over this year."

From overview to action

A chart or overview is not just there to look at. Within the same conversation you can ask ChatGPT to update or create something in Exact Online. How that creating and approving works exactly, you can read in creating and adjusting data in ChatGPT. A few examples from a receivables overview:

"Prepare a payment reminder for the three oldest outstanding items."
"Update the payment term for De Vries Techniek to 14 days."
"Block Bakker Metaal for new orders until the outstanding invoices are paid."

Actions like these are not simply carried out. ChatGPT prepares them as a draft and you approve them before anything changes in your administration.

Good to know: a chart or overview only reads your figures by default. An action that updates or creates something always comes first as a draft that you approve.

Frequently asked questions

Does my chart stay up to date automatically?
No. A chart is a snapshot of the moment you request it. If you want fresh figures, you ask ChatGPT to recreate the chart with your current administration.
Do I need to set anything up or write code?
No. You describe in plain language what you want to see and ChatGPT creates the chart or overview. You adjust it by asking as well, for example a different period or a different type of chart.
Can I adjust the chart after it is ready?
Yes. Ask for an adjustment, for example "show only items older than 30 days" or "make it a bar chart", and ChatGPT creates a new version.
Can a chart change anything in my administration?
No, a chart or overview only reads your figures. If you want something updated or created, you ask for that separately, and it comes first as a draft that you approve before it is recorded.
