Can ChatGPT do my bookkeeping? An honest answer

No. At least, not on its own. Ask ChatGPT today what your revenue is this quarter and you get a smoothly worded answer that is based on nothing, because the model has never seen your accounts. Without current information it stays guesswork

ChatGPT was trained on text from the internet, not on your general ledger. It does not know which invoices are outstanding, what you paid suppliers last month or how your VAT codes are set up. Ask it a question about your figures anyway and something unpleasant happens: the model answers as if it does know. Confident, well worded and made up.

That is not a malfunction, it is simply how a language model works. When information is missing, the model fills the gap with what sounds statistically plausible. For a marketing text that is fine, but for your bookkeeping it is risky, because you only spot a mistake once you check everything yourself. And then you might as well have worked it out yourself right away.

The often tried middle ground, pasting an export from your accounting package into the chat window, only solves it halfway. The figures are outdated the moment you paste them. You quickly copy the wrong columns or an incomplete period along with them. And you put customer and invoice data into a chat conversation where it does not belong. Error prone and a privacy risk at the same time.

With a secure connector the answer changes

Now the honest caveat. If you give ChatGPT access to your accounts through a secure connector, the guessing stops. The AI reads your real figures, straight from your accounting package, and bases every answer on them. Ask which invoices are outstanding and you get the invoices that are outstanding right now, with amounts and due dates you can verify.

You do not just give an AI assistant access, and you do not have to. With a good connector you decide what the AI may do: read only, or also create and edit. You set those rights per role, you can always put a user on read only and there is a daily limit for changes.

Even when connected, the AI does not take over your bookkeeping completely. You file the VAT return yourself. The AI writes a payment reminder as a draft, but you send it yourself. And with a tricky VAT position or the year-end closing, your accountant remains the right person to turn to.

What the AI does take over is the searching and analysis work: requesting reports, listing outstanding items, checking entries, flagging discrepancies. That is a healthy division of tasks. The AI does the work you did not become an entrepreneur for and you make the decisions. Anyone who promises that AI takes over your entire bookkeeping is promising too much.
