Pipedrive and Exact Online: from lead to invoice in one flow

A deal is won in Pipedrive, someone shouts "nice!" in the group chat, and then the real work begins. Transferring customer data to Exact Online, creating an invoice, checking amounts. A Pipedrive Exact Online integration takes that work off your hands. But which connector suits your team?

Sales teams of three to five people using Pipedrive usually don't have an IT department. They want to sell, not administrate. Yet manually transferring deals into invoices quickly costs one to two hours a week, especially with twenty to fifty deals a month.

What exactly gets synchronised

Pipedrive and Exact Online speak a different language. The connector translates between the two.

Persons and Organizations in Pipedrive become Accounts and Contacts in Exact Online. Name, email address, phone number, Chamber of Commerce number, it all flows through automatically. Create a new customer in Pipedrive? It appears in your accounting within minutes.

Deals become Sales orders or Invoices. As soon as a deal reaches a certain stage (for example "Won"), the connector automatically creates an invoice in Exact Online. The deal value, currency and customer details are already filled in.

Products in Pipedrive become Items in Exact Online. Prices, descriptions and VAT codes stay consistent across both systems.

And the other way around: the payment status from Exact Online flows back into Pipedrive. Your sales team sees in their own environment whether an invoice has been paid, without first logging into the accounting.

Pipedrive's built-in invoicing is not enough

Pipedrive has a built-in invoicing feature that lets you create an invoice straight from a deal with a connected invoicing app. In it you can manage templates, create invoices and track statuses. For simple situations that works fine.

But that invoicing stands entirely apart from your accounting. There is no connector to Exact Online, no VAT return, no general ledger accounts. For a company that is serious about its financial administration, Pipedrive's built-in invoicing remains a stopgap.

How does the connector work technically?

A deal contains structured fields that translate directly into sales invoices in Exact Online. The connector synchronises customer data, products and prices with Exact Online. You no longer need any data export or manual retyping. All data is immediately available in Exact Online. 

Pipedrive sends a signal to the connector at every stage change of a deal. Move a deal to "Quote sent"? Then the connector creates a draft invoice. Does the deal go to "Won"? Then the invoice is booked definitively in Exact Online. That works in real time, without polling or manual triggers.

1. Commercient (middleware)

The advantage is that you have in-depth mapping options and support for complex scenarios. The trade-off is that the price is higher and implementation takes longer. For a team of three to five people this is often more than you need.

2. Skyvia (data integration)

Skyvia is a cloud-based data integration platform that lets you synchronise data between Pipedrive and Exact Online through visual flows.

Skyvia is strong at bulk data and periodic syncs, but less suited to real-time triggers and specific accounting logic. You have to think about VAT codes, general ledger accounts and payment terms yourself.

3. Zapier or Make (no-code)

The best-known no-code platforms. You build a "zap" or "scenario" yourself that triggers an action in Exact Online when a deal is updated in Pipedrive.

The barrier is low, but the limitations quickly show as you grow. Error handling is minimal, more complex logic requires several steps, and you pay per task. With fifty deals a month and three to four steps each, the costs add up.

The typical scenario

Say you have a sales team of four people. You close thirty deals a month in Pipedrive. There is no IT department, the office manager handles the accounting in Exact Online.

Without a connector, transferring deals into invoices takes at least an hour a week. Mistakes creep in: a wrong amount, a missing VAT code, a customer created twice. The bookkeeper corrects it, the sales manager doesn't understand why the figures don't add up.

One-way or two-way: Some connectors only send data from Pipedrive to Exact Online. You also want the payment status back, otherwise your sales team stays in the dark.

VAT handling: The Netherlands has multiple VAT rates. A connector that doesn't account for this creates work for your bookkeeper.

Error handling: What happens if a synchronisation fails? Do you get a notification? Is it retried automatically? With no-code tools you have to arrange this yourself.

Support in Dutch: If your bookkeeper has a question about the connector, you don't want an English-language ticket system with a three-day response time.

A Pipedrive Exact Online integration is no longer a big IT project. The tools are there, the APIs are mature, and you don't need a developer. The question is not whether you should connect, but which connector suits your team.
